Less Annoying CRM integrations: calendar, email, Mailchimp, Zapier and API

Less Annoying CRM integrations at a glance

Less Annoying CRM connects directly to Google Calendar, Outlook Calendar, Google Contacts and Mailchimp, logs email from Google, Microsoft or any IMAP mailbox, and reaches other apps through Zapier or its API. The vendor's integration directory listed about thirty named apps on 3 October 2026, including phone, mapping, form and QuickBooks tools built by other companies. There is one plan at $15 per user per month, and the pricing page says no features are locked behind upgrades.

Email logging and calendar sync: setup steps in order

For email, the help center gives this order:

  1. Open the Email settings page and choose to log all emails automatically.
  2. Pick Google, Microsoft or another provider. For another provider you need its IMAP details.
  3. Sign in to the mailbox and grant access.
  4. Add up to two more mailboxes if you use them, for three in total.

Mail to someone who is not yet a contact is not logged. For those, send a BCC to your personal logging address, or forward the message to it.

For a calendar: open Settings, then Integrations, choose Connect your calendar, pick a Google or Microsoft account, authorize it, match each outside calendar to a CRM calendar and finalize. A mistake to avoid, as the documentation describes it: editing recurring events on the Google or Outlook side. The help center recommends editing them in the CRM.

Zapier: the triggers and actions Less Annoying CRM exposes

The help center lists six triggers: new contact, group membership added, group membership removed, pipeline item status update, form submission and contact deletion. It lists ten actions: create contact, create contact note, edit contact, edit pipeline item, create group membership, delete group membership, create pipeline item, create task, find contact and find pipeline item.

A practical use for a volunteer team: a Google Forms sign-up creates a contact, adds it to a group and creates a call-back task. That is a multi-step Zap, so check Zapier's plan terms. The vendor's pages disagree on how many apps this reaches, quoting both 5,000 and 6,000 or more, so treat the number as "thousands". Mailchimp sync and the bulk email gap

The help center states that Less Annoying CRM does not send bulk email itself. The Mailchimp connection fills the gap: you choose which CRM groups map to which Mailchimp audience or tags, and the sync then runs both ways. New campaign sends are logged on each contact. Automated or drip emails are not.

Warning: the sync removes people as well as adding them. The documentation says that removing a contact from a synced group in the CRM also removes them from the linked Mailchimp audience or tag. Check group membership before tidying up.

API and webhooks for custom work

There is a documented API covering contacts, notes, tasks, events, pipeline items, groups, users and webhooks. The documentation is blunt that it is for capable programmers, and the terms of service allow the company to throttle or end API access it considers overuse. For a small nonprofit, Zapier is the realistic route unless a volunteer developer is on hand.

What to check after connecting

  • Send a test email to an existing contact and confirm it appears in their history.
  • Create one event on each side of the calendar sync and confirm both appear once, not twice.
  • After the first Mailchimp sync, compare the group count in the CRM with the audience or tag count.
  • Run each Zap once with a test record, then delete the test record. Warning: check that the record you delete is the test one and not a real contact, and remember that any Zap using the contact deletion trigger will run when you do.
