Define ready for which task
Ready to receive an invitation, ready for a particular role and confirmed for an event are not interchangeable. Write the relevant meaning with the people responsible for the program. The conditions may differ by role. This guide does not supply legal, safeguarding, medical or background-screening rules and must not be used to determine someone’s eligibility.
Record the minimum useful reference
Where an approved process makes a decision, a general working list may only need its status, responsible role and review date. Do not copy sensitive underlying documents into ordinary notes to make the list look complete. Access to the underlying evidence belongs in the approved system with the right permissions.
Keep unknown visible
A blank field should not become a pass because the person has an existing contact record. Use not checked or needs review when that is the truth. If information conflicts, route the question to the authorized owner. Do not let an automated transition silently override a human decision or a role-specific restriction.
Worked boundary
A fictional team can confirm that an orientation took place but has not completed a separate role-specific review. It records those facts separately and does not label the person fully ready. The coordinator can continue routine communication while leaving the protected decision with the responsible person.
Separate the decision from the working-list label
A working-list entry might say “role review pending; program lead; next review Friday,” without storing the underlying screening material. The program lead’s authorized process decides what is sufficient and who can see it. If one requirement is complete but another is unknown, show both rather than averaging them into a readiness score. A later role or policy change may require a fresh review. The CRM should help staff find the responsible decision-maker, not infer eligibility from contact age, response speed or unrelated personal characteristics.
