List the responses, invitations and reviews the team still owes. Identify the current owner, the next owner and the relevant date. A large exported contact list is not a handover if the recipient cannot tell which promises remain open. Keep sensitive detail in the approved record rather than duplicating it in the handover note.

Confirm the receiving person can work

Check that the new owner has the appropriate authorized access and understands the record meanings. Do not share a password to make the transition quicker. A named owner field is not proof that the person accepted the responsibility or can see the necessary information. Use a small fictional or approved sample to verify the path.

Record what remains unresolved

A good handover can include unknowns. Name the person who will resolve each one and the next review point. Do not mark the handover complete merely because a document was sent. Completion means the receiving person can explain the open work and its boundaries, with protected decisions still assigned to the right role.

A fictional cover coordinator receives five outstanding orientation replies. They can find four records but lack authorized access to the fifth. The handover records that exception and its resolution owner. It does not claim full coverage or bypass the access control to make the checklist appear complete.

Use an acceptance conversation

Ask the receiving coordinator to identify the first open action, explain where the authorized context lives and describe an exception they would escalate. This checks comprehension rather than merely receipt of a document. Record unavailable access, unclear ownership and protected decisions separately. The outgoing person should not mark acceptance on the receiver’s behalf just because a deadline arrived. If full transfer is not possible, agree a bounded temporary arrangement with the responsible owner and keep the unresolved work visible until the actual transfer is accepted.
