Name the records you need
Contact details, preferences, statuses, outstanding tasks and relevant history may be stored differently. Decide what must remain understandable after a move. A CSV containing names and email addresses can be valid yet insufficient for continuity. Check the vendor’s current export options instead of assuming one button includes every related record.
Inspect a permitted sample
Use fictional or appropriately authorized records to check labels, dates, character encoding and relationships. Confirm how blank values and multiple selections are represented. Keep sensitive exports in the approved destination, not on this website. The goal is to identify missing meaning before relying on the new process.
Do not cancel before acceptance
Agree what must work in the replacement, who signs off internally and how exceptions will be handled. Preserve the current authorized process until those conditions are met. Subscription cancellation, data deletion and access removal are separate consequential decisions, not routine steps this guide performs for you.
Worked acceptance
A fictional export contains every contact but no pending orientation replies. The team does not call the move complete based on row count. It identifies how the outstanding work will be transferred and checks a small sample in the receiving process. Counts, usable meaning and ongoing access are separate checks.
Compare meaning as well as row count
Choose a fictional record with more than a name: multiple preferences, an open task, a pause and a dated note. Inspect whether the export preserves the relationships and whether the receiving tool can represent them. Record omitted information, changed date formats and fields needing a deliberate mapping. A successful small sample reduces uncertainty but does not prove every production record will migrate correctly. Keep a separate authorized transition plan for backups, exceptions, access and eventual cancellation, with a clear owner for accepting the new working process.
