When estimated work exceeds the entered capacity, consider a narrower queue, a different review window or more authorized cover. Do not pressure volunteers or remove necessary review steps to make the result fit. A negative capacity balance is a planning signal, not evidence that any particular staff member is underperforming.

Thirty reviews at six minutes each require 180 minutes in this fictional scenario. Two coordinators with one hour each provide 120 minutes, leaving a sixty-minute gap. The worksheet does not establish that a CRM will eliminate that gap. The team must change its plan or test a specific process improvement and measure the result.

Run two assumptions before changing the plan

In the fictional thirty-record example, four minutes per review means 120 minutes while eight minutes means 240. With the same 120 minutes of available time, the conclusion ranges from just fitting to a two-hour gap. Those numbers are assumptions, not measurements. Use the range to decide which queue needs clarification and whether another review window is required. If you later measure real review time, keep the method and sample limitations in your internal record rather than treating the calculator’s default example as an industry benchmark.
